Labelling and Organising Vials

A simple labelling and organisation system that prevents mix-ups: what to write on every vial, how to arrange the fridge, and how your labels tie back to your research log.

The moment you run more than one compound, or reconstitute a vial and put it back in a crowded fridge, organisation stops being optional. Unlabelled or poorly labelled vials lead to mix-ups, wasted material, and observations you cannot trust because you are no longer sure which vial they came from.

STEP-BY-STEP

  1. Label every vial the moment you reconstitute

    The highest-value label goes on a freshly mixed vial: write the compound, the concentration, and the reconstitution date. A reconstituted vial with no label is the single easiest thing to mix up later.

    Tip: Label before the vial goes back in the fridge — never "later", because later it looks identical to every other vial.

  2. Include the four essentials

    Every label should carry: the compound name, the concentration (e.g. 5,000 mcg/ml), the date, and enough of the batch number to tie it to your log and Certificate of Analysis. Those four fields make a vial self-explaining.

  3. Keep lyophilised and reconstituted vials separate

    Store unopened powder vials in one area and reconstituted solutions in another. This prevents reaching for the wrong state and makes it obvious at a glance what is ready to draw and what still needs mixing.

  4. Use a dedicated fridge box

    Keep all vials together in one labelled box or rack in the main body of the fridge — not scattered across shelves or in the door. A single container keeps them off the door's temperature swings and stops them getting lost behind food.

  5. Match the label to your log

    The batch number and concentration on the label should match the entry in your research log. This two-way link means any observation can be traced to a physical vial, and any vial to its full history.

  6. Retire and remove finished vials

    When a vial is empty or past its discard window, dispose of it and mark it closed in your log immediately. Removing finished vials keeps the storage box uncluttered and prevents accidentally drawing from a dead vial.

Why the label is the anchor of your records

Your research log is only as trustworthy as your ability to connect each entry to a physical vial. The label is that connection. A vial marked with compound, concentration, date and batch number can always be matched to its log entry and its Certificate of Analysis — so every observation stays traceable.

Without labels, a crowded fridge of near-identical vials turns into guesswork, and guesswork poisons the whole dataset. The few seconds it takes to label a vial at reconstitution is the cheapest insurance in the entire workflow.
